Privacy Policy

SYB Ascend is a software integration and revenue-operations consulting firm based in Birmingham, Michigan, USA. This Privacy Policy explains what information we collect through sybascend.com, including the public website, the client portal, staff invoice tools, and related emails, how we use it, and the choices you have.

Contact form. If you write us through the site, we collect the name, email, phone number, and optional message you submit.

Client portal accounts. Staff at SYB Ascend create a separate login for each client company. For that account we store the contact name, company name, login email, and a hashed password. After a correct password we email a one-time sign-in code to that address. Each login only shows invoices issued to that account. Several client companies can use the portal at the same time; their records are kept separate.

Invoices. We store invoice numbers, line items, amounts, dates, notes, payment status, and the related client email so you can view history and so we can send invoice emails.

Payments. Card payments are processed by iPOSpays on their hosted checkout. We do not collect or store card numbers, CVV codes, or full bank account numbers. We receive a payment reference and status so we can mark an invoice paid. Card payments include a 3% surcharge added at checkout.

Staff access. SYB team members sign in to a separate staff area to create clients and invoices. Staff credentials are not client portal logins. Staff sign-in also uses a one-time email code after the password.

Chat widget. If you use the on-site assistant, the messages you type are sent to our AI provider so we can reply. Do not send passwords, card numbers, or other sensitive financial data in chat.

We use this information to:

• Respond to inquiries and discuss a potential engagement
• Create and maintain your client portal login
• Email a one-time sign-in code after a correct password
• Issue, email, and display invoices for your company
• Process invoice payments and record whether they succeeded
• Operate, secure, and improve the website and portal

We do not sell your information, and we do not use portal or invoice data for advertising.

Contact-form messages are delivered to the SYB Ascend team through an automation (n8n) into our Outlook inbox so we can reply.

Portal accounts, invoices, and payment status are stored on our hosting platform (Vercel), including a private Vercel Blob store used for those records. Passwords are stored as one-way hashes, not in readable form. Session cookies keep you signed in on your own browser only.

Invoice and welcome emails are sent through Resend from TeamSYB@sybascend.com. Payment checkout and card processing are handled by iPOSpays. The on-site assistant is processed by Anthropic.

We do not sell, rent, or share this information with third parties for their own marketing. Processors listed here receive only what they need to provide their service to us.

Contact-form correspondence is kept in our email records as long as needed to respond and maintain a reasonable business record. Portal accounts and invoices are kept while we have an active working relationship and as needed for billing and payment records. You may ask us to correct or delete portal access or contact information at any time, subject to records we must keep for accounting or legal reasons.

You may request access to, correction of, or deletion of the information you have shared with us. To make a request, email us at TeamSYB@sybascend.com and we will respond within a reasonable time.

Our website and portal are intended for businesses and are not directed to children. We do not knowingly collect information from anyone under the age of 16. If you believe a child has provided us information, please contact us and we will delete it.
